# Measuring Cell Service Exchange Scheme

## Rivertrace now operates a service exchange scheme for SMART BILGE and SMART ODME measuring cells. The exchange scheme is intended to provide customers with a faster and simpler replacement process while ensuring that calibrated measuring cells are available when required.

Rather than returning a measuring cell to Rivertrace for repair and recalibration and then waiting for that specific unit to be returned, customers can purchase a **service exchange measuring cell** from our available pool of repaired, tested and recalibrated units.

The replacement cell can therefore be sent directly to the vessel, with the existing measuring cell returned to Rivertrace afterwards.

### Exchange Part Numbers

The following part numbers should be ordered when requesting a service exchange measuring cell:

### How the Exchange Process Works

When placing an order for an exchange measuring cell:

1. **Raise a purchase order for the appropriate service exchange part number.**
2. Provide the **serial number of the measuring cell currently installed on the vessel** at the time of order.
3. Rivertrace will raise a return against this serial number and provide the relevant **return documentation / return slip**.
4. A repaired, tested and recalibrated exchange measuring cell will be supplied for installation onboard.
5. The removed measuring cell should then be returned to Rivertrace using the supplied return documentation.

This allows the vessel to receive a replacement without waiting for its existing measuring cell to be repaired and recalibrated.

### Eligibility for Exchange Pricing

To qualify for the service exchange price, the measuring cell being returned must:

- Be **within its five-year calibration validity**, or
- Have expired **no more than 12 months previously**.

Returned measuring cells will also be assessed by Rivertrace to confirm that they are in a condition suitable for repair and reuse within the exchange pool.

Where a returned cell is found to be unsuitable for repair or reuse, additional charges may apply.

### Returning the Existing Measuring Cell

The existing measuring cell must be returned to Rivertrace **within three months of the replacement exchange cell being supplied**.

If the old measuring cell has not been returned within this period, Rivertrace reserves the right to issue a **follow-up invoice for the difference between the service exchange price and the full replacement price**.

Providing the existing measuring cell serial number when placing the order is therefore important, as this allows us to track the return correctly.

### Why Are We Moving to an Exchange Model?

Historically, customers have sometimes returned measuring cells for repair and recalibration and asked Rivertrace to hold the repaired unit until another vessel within their fleet required it.

This creates unnecessary stock holding, administration and delays, while repaired measuring cells remain allocated to individual customers rather than being available to support the wider fleet.

The service exchange pool allows Rivertrace to maintain a stock of **ready-to-use, calibrated measuring cells**, meaning customers can receive a replacement when it is needed and return the removed unit afterwards.

For this reason, Rivertrace will **no longer routinely support the repair and recalibration of individual measuring cells for return to, or storage against, a specific customer or fleet**.

The service exchange scheme should instead be used as the standard route for replacing eligible SMART BILGE and SMART ODME measuring cells.

### What Information Do I Need to Order?

When requesting an exchange measuring cell, please provide:

- Vessel name
- Product type
- Required exchange part number
- Serial number of the measuring cell currently installed
- Purchase order

Providing this information at the outset will allow Rivertrace to process the exchange and associated return efficiently.
